1. Who we are
ZVYAZ is responsible for the personal data described in this policy. For anything about privacy, email hello@zvyaz.com.
The data a company enters into ZVYAZ, such as its customers, suppliers, orders and invoices, belongs to that company. We only process it on the company's behalf, under the data processing agreement in our terms and conditions. If your details are in a ZVYAZ customer's records, please contact that company first.
2. Visiting zvyaz.com
To deliver pages, our hosting provider processes technical data such as your IP address and browser type. We don't use this data to identify you.
We use an analytics tool to understand how visitors use the site, so we can improve it. It records clicks, scrolling and the pages you visit, along with your device, browser, approximate location and the page that referred you. It masks anything you type into forms, and uses cookies to recognise returning visitors.
We don't use advertising cookies, and we don't sell your data.
3. Contacting us
When you email us, we receive your name, email address and whatever you write, and use them to reply and follow up.
4. Using the ZVYAZ app
When you use the app, we process:
- Account details: your name, email address and the sign-in identifier from Microsoft or Google, to create your account and let you sign in.
- Company access: your companies, your role in each and your language choice, to show you the right company and what your role allows.
- Invitations: the invited email address, role and who sent it, so the person can join.
- Activity: who created, confirmed, changed or cancelled a document, and when. This is the audit trail on orders, transfers and invoices.
- Technical logs: which may include IP addresses, for security, troubleshooting and keeping the service running.
We process this data to provide the service you signed up for, to meet legal obligations such as keeping fiscal records, and to keep ZVYAZ secure. The app doesn't use analytics or advertising trackers. We may email you about your account and important changes to the service, but we won't send marketing emails without your permission.
5. Who we share data with
We only share personal data with service providers that process it on our behalf, under contract:
- infrastructure providers, for hosting, storage, logs and sending emails;
- an identity provider, for sign-in and user accounts;
- an analytics provider, for the website only;
- Microsoft or Google, if you choose to sign in with one of their accounts. They confirm your identity to us under their own privacy policies.
We may also share data when the law requires it, for example with tax authorities, or to protect our rights.
6. How long we keep data
- Your account: for as long as you have access to a company in ZVYAZ, and 1 months after that, unless you ask us to delete it sooner.
- Emails with us: up to 2 years after our last contact, unless they become part of a customer relationship.
7. Security
All connections are encrypted, and data is stored encrypted. We don't store passwords, because you sign in through Microsoft or Google. Each company's data is kept separate, what you can see within a company depends on your role, and administrative access is restricted and logged.
8. Your rights
Under the GDPR you have the right to:
- see the personal data we hold about you, and get a copy;
- have incorrect data corrected;
- have data deleted, except where the law requires us to keep it;
- restrict or object to processing;
- receive your data in a common, machine-readable format.
Email hello@zvyaz.com to use these rights. We reply within a month, and may ask you to confirm your identity first. If you think we handle your data wrongly, please tell us. You can also complain to the data protection authority in your country.
9. Changes to this policy
We update this policy when the way we process data changes. The date at the top shows the latest version. If a change significantly affects app users, we'll tell them by email.
